The Accounting Manager is responsible for the accounting operations of the organization, including the production of periodic financial reports, maintenance of an adequate system of accounting records, and a comprehensive set of daily procedures to ensure that reported results comply with generally accepted accounting principles (GAAP). This position reports to the Finance Director but works closely with other staff members.

Essential Job Functions:


  • Maintain all accounting systems, policies, and procedures in accordance with GAAP, including the general ledger (using Blackbaud Financial Edge NXT) and all paper and electronic files
  • Create, enhance, and document internal controls
  • Ensure that documents reflecting policies and procedures are complete and up to date
  • Maintain an organized filing system compliant with the organization’s document retention policy


  • Determine accounting structure within Blackbaud’s Altru program, and collaborate with the Development Department to maintain & capture accurate revenue recognition
  • Oversee and maintain controls governing the daily admissions, deposit, and revenue post process
  • Create daily post files in Financial Edge NXT to reflect revenues
  • Track and deposit deferred rental payments and security deposits
  • Ensure that the financial needs of all events are coordinated
  • Ensure that accounts receivable invoices are collected promptly
  • Ensure that monthly bank reconciliations are completed
  • Manage and report on cash flow weekly to Finance Director
  • Manage all banking and investing relationships


  • Check for accuracy of invoices entered in Accounts Payable system
  • Be responsible for weekly cash disbursements and fraud control reports
  • Coordinate all paperwork with vendors such as collection of W9s, open terms applications, invoices, certificates of insurance, and confidentiality agreements; produce and file yearly1099s
  • Ensure that required debt payments are made on a timely basis


  • Responsible for preparation, oversight, uploading and monthly allocations of payroll costs including entering new payroll adjustments, expense statement payments and notations of time off for salaried employees.


  • Participate in the annual budget presentation with the Finance and Audit Committee. Input the approved budget into the Blackbaud Financial Edge NXT system
  • Produce and submit all reports required by Development for outside government vendors or agencies, such as, but not limited to, lobbying expenses, private funder reporting, and government grant reporting
  • Prepare and present timely reports, including tailored management reports, funder close out reports and restricted spending reports


  • Participate in annual financial audit, government grant audits (if any), tax returns, and other assurance reports required by funders
  • Comply with local, state, and federal government reporting requirements and tax filings including quarterly sales tax returns and payments
  • Manage commercial & auto insurances and workers’ compensation insurance


  • Minimum of a bachelor’s degree in either accounting, economics, or finance; Certified Public Accountant designation preferred
  • Minimum 5-7 years progressively responsible experience; only candidates with experience in a non-profit environment will be considered
  • Experience accounting for government grants preferred
  • Successful completion of required background checks and clearances prior to start date (Child Abuse Clearance; PA State Police Background Check; FBI Fingerprint Background Check).
  • Proficient with accounting and donor database software, experience with Blackbaud Financial Edge NXT and Altru preferred
  • Deep proficiency in Excel required, must be adept in Microsoft Office products
  • Impeccably organized and detail oriented, excellent oral and written communications, comfortable making financial presentations to both internal and external groups
  • Team player, comfortable in environments of rapid change and evolving organizational structure
  • Be able to operate under pressure and meet deadlines, ability to work well in collaborative, fast-paced team environment


  • Flexible hours may be required for Garden-related functions, weekends, weekdays, evenings, and holidays.
  • Duties are performed primarily indoors with occasional outdoor work
  • Ability to lift and carry up to 30 pounds
