Payroll and HR Analyst

FLSA status: Full-time, Non-exempt
Hours:  M-F – 8:30 am – 5:00 pm with occasional evening and weekend hours
Hybrid Work Schedule: M-T remote; W-R-F onsite at museum administrative office
Reports to: Chief Financial Officer
Supervises: No direct reports
Team: Finance and Administration
Compensation: $18/hour

This position is responsible for basic payroll and employee benefit processing as well as other office and finance-related administrative tasks.

The Mattress Factory, a contemporary art museum on the Northside of Pittsburgh founded in 1977. We feature site-specific installations created by artists in residence from around the world.

To Be Successful in This Position, You Must

Be detailed oriented, organized, possess strong computer skills, and have a working knowledge of basic payroll and employee benefit related processing.

Your Role

  • Assist managers with hiring processes, to include posting job positions, as well as collecting basic applicant tracking information.
  • Administration and oversight for new employee onboarding and departing employee offboarding.
  • Meet with new hires to review basic payroll and employment related forms.
  • Familiarity with and ability to explain Mattress Factory employee benefit related programs.
  • Process bi-weekly payroll on the ADP Run software platform.
  • Ensure ongoing and annual compliance with IRS Publication Circular E. Review.
  • Track paid time off for all employees.
  • Familiarity with and ability to explain policies and procedures outlined in Mattress Factory employee handbook and other documents.
  • Track employee training certifications.
  • Assist new hires with setup of ADP online credentials and mobile app usage.
  • Assist Chief Financial Officer in gathering employee data for grant, government and other reporting.
  • Organize and maintain HR files with goal of optimizing ADP Run online functionality.
  • Possess basic understanding of quarterly payroll tax filings.
  • Coordinate processing of annual IRS W-2 and W-3 reporting with ADP.
  • Provide oversight for collection and maintenance of employee credit card receipt support.
  • Collect basic information related to employee workplace incidents, including coordination with worker’s compensation online reporting system.
  • Provide information to third-party unemployment insurance administrator when needed.
  • Collection and electronic retention of employee performance evaluations.
  • Provide internal support to the Arts Cohort shared Talent and DEAI Director in promoting Diversity, Equity, Accessibility, and Inclusion at the Mattress Factory.
  • Assist Chief Financial Officer in providing payroll-related reporting for testing in annual external financial statement and worker’s compensation audits.
  • Assist Chief Financial Officer with processing payment for Museum vendors, clients and contractors.
  • Assist Chief Financial Officer with other administrative tasks related to bank deposit delivery, document filing and general office support.
  • Position will be required to coordinate and process certain off-site administrative and financial errands (e.g., bank deposits) and must have available transportation means.

  • Associate’s degree with concentration in Human Resources or comparable experience.
  • Must have (or be willing to obtain) a dedicated home internet connection and cell phone.
  • Demonstrated commitment to increasing Diversity, Equity, Accessibility, and Inclusion in the workplace.
  • Attention to detail in all work with proven ability to meet deadlines.
  • Ability to present accurate and appropriate information as well as exercise good judgment and discretion in handling confidential information.
  • Must be proficient with using Microsoft Excel to create and update reports.
  • Working knowledge of Microsoft SharePoint, Outlook, and Word.
  • Proven experience with processing payroll. Experience using ADP Run is a plus.
  • Excellent written and verbal communication skills.
  • Must be able to coordinate a variety of activities.
  • Some weekend and evening work will be necessary.

Position includes full employer paid medical, dental and vision benefit premiums along with employer contributions to a Health Savings Account. Upon hire, eligible employees may also elect tax-deferred contributions to an employer sponsored 403(b) plan.
