The Associate Director of Prospect Development, as a member of the Advancement Services Team in Development at Whitman College, is responsible for developing and executing prospect development strategies and managing the prospect development program and staff. In partnership with the development team’s senior leadership, the Associate Director helps guide fundraising efforts to build a sustainable pipeline of major and planned gift donors to the College including working closely with all relationship managers.
PRINCIPAL ACCOUNTABILITIES AND SKILLSETS
- Provide overall Prospect Development program management including prospect research and prospect management.
- Manage the Prospect Development team, presently including the Prospect Research Analyst.
- Develop and maintain prospect development policies and procedures in collaboration with senior leadership.
- Prospect Management: Portfolio Management and Prospect Strategy
- Lead monthly one-on-on meetings with relationship managers, lead quarterly portfolio reviews, and help coordinate and actively participate in prospect review and development meetings.
- Coordinate moves management of prospects identified during the above meetings and otherwise.
- Work with relationship managers to develop individual strategies for each assigned prospect.
- Define and coordinate what and how prospect development data is recorded in the fundraising database and secondary products.
- Oversee the requirements, tracking, and review of contact reports and the related data processing.
- Prospect Data Reporting and Analysis
- Gain strong familiarity with all existing reporting tools and platforms currently including Millennium, Visual Analyzer, Tableau, Blackbaud Fundraising Performance Management, and Excel. Be able to identify the best systems for extracting prospect data including self-service reports for leadership and relationship managers.
- Work with senior leadership to develop staff and program measures of success and ensure that data is accessible.
- Provide regular reports and analysis on prospect data, particularly the pipeline, prospect pool, assigned prospects, and unassigned potential prospects by various segments.
- Prospect Research, Identification, and Qualification program management
- Identify the best possible prospects for Whitman College utilizing prospect screenings, prospect research tools and products, other research methodologies, and institutional data.
- Perform both proactive and reactive research.
- Perform periodic database screenings of varying constituent groups. Validate, analyze, and process results.
- Utilize constituent data, alerts of database activity, news alerts, and staff recommendations to identify potential prospects that may need further research.
- Follow the prospect management research calendar of regularly required research activities.
- Respond to on-demand research requests.
- Provide prospect research in the form of full profiles, mini-bios, and in other formats to meet the needs of senior leadership, relationship managers, and in support of travel and events.
- Provide training for research staff, support staff, and student interns on research on research methodologies including capacity assignment.
- Provide training for all incoming development staff on development 101, prospect development at Whitman, product training, and program policies and procedures.
- Understand and keep current on relevant industry standards and trends.
Bachelor’s or Associate’s degree with two or more years of experience in prospect development or in relevant development positions required.
A job candidate must be able to explain and/or demonstrate that he/she possesses the knowledge, skills and abilities to safely and effectively perform the essential functions of the job, with or without reasonable accommodation.
- Experience working in higher education or other non-profits preferred.
- Leadership experience of programs, projects, and/or staff preferred.
- Familiarity with fundraising databases, prospect research tools, and Microsoft Office preferred. Must possess the ability to learn new software applications and programs with ease.
- Strong written and verbal communications and strong interpersonal skills.
- Strong sense of professional ethics and confidentiality standards including the American Prospect Research Association’s code of ethics.
- Possess the ability to actively and positively contribute to the College’s core values of diversity, equity, and inclusion.
Full-time exempt position with standard work hours Monday through Friday 8 AM – 5 PM. Travel required for conferences once or twice per year. Weekend hours occasionally required for events, such as Reunion Weekend and Commencement.
