The South West Regional Chamber of Commerce is a strong, pro-business membership organization serving business and our communities for almost 100 years.
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our executive team. The successful candidate will play a crucial role in ensuring the smooth and efficient operation of our executive office, enabling our leadership team to focus on strategic initiatives and business priorities.
Calendar Management: Scheduling appointments, meetings, and conferences for our director and ensuring she is aware of their schedules.
Board and Committee Meeting Support: Preparing agendas, taking meeting minutes, and distributing them to attendees, as well as arranging meeting logistics as needed.
Document Preparation: Creating and formatting documents, presentations, reports, and other materials for executives.
Communication Liaison: Acting as a liaison between executives and other staff members, clients, vendors, and external stakeholders.
Information Management: Organizing and maintaining executive's files, records, and confidential information.
Expense Management: Handling expense reports, reimbursements, and tracking expenditures for executives.
Event Coordination: Assisting in planning and coordinating company events, conferences, and corporate functions.
Project Support: Providing administrative support on special projects or initiatives as assigned by executives.
Maintain organized filing systems, both electronic and physical, to ensure easy access to important documents.
Gatekeeping: Screening phone calls, inquiries, and requests, and prioritizing them accordingly.
Research: Conducting research on various topics as requested by executives, and compiling findings into reports or presentations.
Email and Correspondence: Handling incoming and outgoing emails, drafting responses, and managing executive's correspondence as needed.
Professionalism and Discretion: Maintaining a high level of professionalism and discretion when handling sensitive information and confidential matters.
Social Media Scheduling: Keeping a calendar of events and posts and scheduling accordingly.
Qualifications:
Bachelor's degree preferred.
Proven experience as an executive assistant, or similar administrative role
Exceptional organizational skills and attention to detail.
Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
Proficiency in Microsoft Office Suite and other relevant software applications.
Ability to prioritize tasks and manage time effectively in a fast-paced environment.
Discretion and confidentiality when handling sensitive information.
Flexibility and adaptability to meet changing priorities and deadlines.
Positive attitude, proactive mindset, and willingness to take on new challenges.
Experience in Quickbooks, Constant Contact, MeetEdgar, Canva and/or Simplecast a great addition, but not required.
