Job Title: Marketing Coordinator

Reports to: Executive Director

FLSA Status: Full Time / Non-Exempt – 40 hours/week

Work Schedule: Primarily day shift, with occasional nights and weekends required

Location:  YWCA Westmoreland County Headquarters

SUMMARY: The Marketing Coordinator performs administrative marketing tasks at the YWCA. This position also serves as the staff coordinator for all special events.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Regular duties include the following. Other duties may be assigned as necessary.

Marketing Duties

  • Work with the Executive Director to create an annual comprehensive marketing plan.
  • Create and maintain collateral materials for all YWCA programs, services and events.
  • Utilize branding guidelines that are following YWCA USA guidelines for all printed and electronic materials.
  • Create and maintain a marketing editorial calendar.
  • Maintain and update website and social media.
  • Create and distribute the newsletter three times per year, working with staff for content, and the Executive Director for final editing.
  • Create and distribute press releases for all events, and other organizational announcements.
  • Keep peers and leadership informed and share relevant information with others.
  • Work with the Executive Director in preparing and distributing the Annual Report.
  • Assist the Executive Director by preparing marketing materials for ad hoc occasions as needed or requested.
  • Staff tables at community events (e.g. Unity Rally, Senior Fairs, etc.) as requested by the Executive Director and assist other staff in preparing for staffing tables at community events.
  • Track marketing statistics.

 Special Event Duties

  • Serve as staff liaison for event-related committees, working with committee chairs to ensure that committee meetings are scheduled, and that reminders, agendas, and minutes are distributed in a timely manner.
  • Plan, organize and implement events with guidance from the Executive Director and event committees.
  • Manage and maintain all databases for fundraisers and special events: invitation and RSVP lists, financial information, advertisements, vendors, etc.
  • Responsible for mailing and emailing invitations, save the date notices, etc.
  • Create print and digital materials related to events.
  • Schedule and coordinator event staff and/or volunteers and assist volunteers with event responsibilities as needed.
  • Current regular events include but are not limited to: Sportswomen of the Year Awards Banquet, Annual Fashion Show, Presidents’ Luncheon, Annual Meeting, Stand Against Racism, and Week Without Violence.
  • Work with Office & Member Coordinator and Bookkeeper to handle and process monies received from or at special events.
  • Track event-related statistics, such as attendance, etc.

SUPERVISORY RESPONSIBILITIES: None. Coordinates the volunteers who work in the Used Book Store..

EDUCATION/EXPERIENCE: An associate’s degree from an accredited college or university and 2 years of related experience (or) a high school diploma and 5 years of related experience. Experience with organizing special events, graphic design, copywriting, social media, and money handling/processing required.

LANGUAGE ABILITY: Ability to read, analyze, and interpret complex documents. Ability to write, speak and listen well. Ability to respond effectively to sensitive inquiries or complaints.


  • Experienced with the Microsoft Windows Operating System.
  • Deeply experienced with Microsoft Outlook, Word, Excel, PowerPoint, and Publisher.
  • Familiarity with Adobe Photoshop.
  • Ability to use the Internet and a Web Browser for research and online applications.
  • Experience with Constituent Relationship Management (CRM)/database software.
  • Experience with WordPress content management system (CMS).
  • Experience with social media tools, including but not limited to Facebook, Twitter, Instagram, and YouTube.
  • Experience with mass mail tools such as Constant Contact.

CERTIFICATES AND LICENSES: Need driver's license and access to one’s own transportation since job requires traveling and driving to the different activities and programs implemented throughout the year. Act 24, Act 114 (from PA DHS), Act 151, and Mandated Reporter Training are required because of the on-site preschool and other childcare programs.
