Trinity School for Ministry (TSM) is an evangelical seminary in the Anglican tradition that forms Christian leaders for mission. Since its founding in 1976, TSM has sought faculty and staff who were both deeply committed Christians and professionally gifted.

Time Requirement: Full-time (40 hours/week), salaried

Job Summary: The Receptionist is often the first point of contact for people who call or visit Trinity’s campus. As such, the Receptionist must be prepared to triage a wide range of inquiries and requests and proactively address issues as they arise without assistance of the administration. The receptionist must be able to effectively communicate information via phone, in writing, and in person.

Primary Duties: 

  • Answer incoming phone calls and receive in-person visitors;
  • Transfer calls to appropriate person and answer simple questions regarding campus and community;
  • Sort and distribute incoming mail;
  • Handle inquiries from internal and external community;
  • Record messages for faculty, staff, and students;
  • Keep staff and faculty attendance record;
  • Produce ID cards and name tags for faculty, staff, students, and essential visitors;
  • Manage confidential calendar for pastoral counselors;
  • Maintain parking permit log;
  • Maintain mailboxes for faculty and staff;
  • Maintain employee emergency contact information;
  • Replenish all forms displayed in the lobby;
  • Serve as point of contact for the postal machine and facilitate mailing requests;
  • Perform other related duties and special projects as requested by the Dean of Students
  • Post all meeting and events on the campus events calendar;
  • Assist the Dean of Students and Dean of Administration in clerical tasks.

Requirements:

  • Knowledge and awareness of current customer service principles and practices;
  • Ability to communicate effectively with faculty, staff, students, alumni, and visitors and possess the ability to handle complex and sometimes difficult communications with tact and sound judgement;
  • Strong presence of investigative, problem-solving, and critical thinking skills;
  • Effective organizational, interpersonal, written, and verbal communication skills;
  • Ability to work independently and without supervision;
  • Ability to prioritize workload and multitask;
  • Ability to evaluate complex issues, determine appropriate course of action, and propose solutions;
  • Keen attention to detail;
  • Maintain accurate records and ability to find information quickly
  • Time management skills to prioritize and complete a wide variety of tasks daily;
  • Respond to all inquiries in a timely manner;
  • Sensitivity to the rights of individuals and the ability to treat them with dignity and respect;
  • Proficiency in using complex telecommunications equipment; computer systems and applications, such as Microsoft Office and G Suite for Education; common office equipment; email and internet; mail processing equipment.

Preferred Requirements: 

  • Previous receptionist experience is strongly preferred;
  • Administrative experience in an academic environment is preferred, but not required;
  • Willingness to contribute actively to the seminary mission;
  • Respect for the Anglican identity of TSM.
