The Role:

The ACMS is seeking a part-time Controller to administer various accounting functions. This role manages the finance/billing activities for ACMS, ACMS Foundation, and several specialty associations that are managed by the ACMS. Tasks will include bookkeeping, accounts payable, accounts receivable, tax deposits, liaising with the accountants for the coordination of annual audits, and the preparation of monthly/quarterly/annual reports. 

This position will have a dotted-line responsibility to ACMS’s part-time CFO to ensure the delivery of effective, efficient, and cost-efficient coordination of financial services required to meet the organization’s goals.

The Organization:

Established in 1865, the Allegheny County Medical Society, ACMS is a 501c6 membership-based organization that serves over 2,000 physicians, medical students, and practice administrators in Allegheny County. Tracking its history back to the Civil War, the organization is celebrated as one of the leading professional associations of physicians in the nation and is governed by physician members elected to its Board of Directors. ACMS provides advocacy, education, professional development, philanthropic support, and networking opportunities that equip providers with the resources they need to deliver quality patient care and find joy and fulfillment in the medical profession.

The ACMS serves its member physicians and administrators through the following core programs:

  • ACMS Foundation: The 501(c)3 philanthropic arm of the organization, the foundation awards grants to support home and community environments that nurture and develop healthy children and families for a healthy Allegheny County.
  • Advocacy and Community Engagement: Raising awareness and building coalitions to advance the profession’s interests in health care legislation, regulation, and reimbursement policy, and informing physicians of the legal perspectives and requirements affecting them. 
  • The Bulletin: Established in 1911, the Bulletin is a monthly, 36-page publication mailed to 2,200 physicians, healthcare administrators, practice managers, and other healthcare executives. Content includes legal, legislative, and practice management updates; opinion pieces, colleague achievements; pharmaceutical information; community events; and resources. 
  • Administration for Affiliate Societies: The ACMS is contracted to serve as the fiscal conduit and support staff for local specialty physician societies.

Compensation:

This position offers a competitive hourly rate of $30 - $33 per hour based on experience.

Employee Benefits:

This position will be based in Pittsburgh, PA and will typically require two days of work in the physical office per week.

Responsibilities:

Accounting Functions for ACMS (50%)

  • Prepare and record all deposits relating to the deposit transactions.
  • Prepare bank reconciliations monthly.
  • Prepare accounts payable and accounts receivable reconciliations as necessary.
  • Prepare monthly investment activity summary worksheet and post monthly entry to record investment related activity.
  • Prepare monthly internal financial statements and various internal reports. These reports will be reviewed and approved by the CFO and Executive Director.
  • Compile all tax information and produce selected reports for the outside tax preparer as needed.
  • Prepare required and necessary IRS Form 1099-MISC
  • Prepare the required and necessary schedules as requested by the auditors.
  • Assist in the preparation of the annual budget.
  • Assist in preparing reports for board meetings/executive committee meetings
  • Administration of the vendor list and W9 files; production and review of the 1099’s required by the IRS.
  • Coding, processing and reconciling credit card payments
  • Ensure that all internal controls are appropriate and followed.
  • Other routine accounting related functions as deemed necessary.

Accounting Functions for Specialty Associations (30%)

  • Accounts payable/accounts receivable for specialty groups
  • Responsible for monthly invoicing to specialty groups for association management services
  • Assist in preparing reports for board meetings/executive committee meetings
  • Assist part-time CFO in preparing annual statements for 990’s

Accounting Functions for the ACMS Foundation (20%)

  • Serve as a liaison to the ACMS Foundation Board 
  • Work with part-time CFO to prepare annual grant allocations
  • Process all approved payments to grant recipients 
  • Assist part-time CFO in preparing annual statements for 990

Desired Skills and Attributes:

  • Bachelor’s Degree in Finance, Accounting, or a related field
  • Proficiency with computerized accounting software (preferably QuickBooks) and Microsoft Office products. 
  • Understanding of nonprofit finances and reporting. Some work experience in a philanthropic, nonprofit, or mission-driven organization a plus
  • An understanding and experience in Full-Cycle Accounting.
  • High level of organization and attention to detail and the ability to manage and prioritize multiple projects at one time
  • Ability to communicate clearly and interact well with a team
  • Able to work both independently and as a team member

Preferred Skills:

  • CPA preferred but not required
  • Experience in non-profit organizations or membership organizations
  • Familiarity with Adobe Creative Suite or similar software
  • Familiarity with Wild Apricot Database (or similar)
  • Familiarity with Stripe Credit Card Processing
