SUMMARY/OBJECTIVE:

The National Aviary’s Sales Coordinator is part of a dynamic and energetic cross-departmental team that reflects the National Aviary’s mission to inspire a respect for nature through an appreciation of birds. The Sales Coordinator is responsible for the development and implementation of sales activities including prospecting and cultivating new sales opportunities, identifying opportunities for sales growth, servicing and upselling existing accounts, and building new relationships. The Sales Coordinator has a focus on group, education, and public program sales. This position creatively develops concepts to enhance sales and customer experiences in order to grow sales and meet budgeted revenue goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Sales and Promotion

  • Generates sales to meet revenue goals with a focus on continued growth. Focuses on group, education, and public program sales.
  • Manages relationships with tour operators, corporations, hotels, adult groups and organizations, and individual customers to support a high level of customer service, an optimum experience from the point of contact through the visit and beyond, and to support sales growth over time.
  • Maintains an understanding of the National Aviary’s group offerings, education programs, and public programs, as well as key sales points in order to maximize opportunities for booking and upselling all programs and add-ons.
  • Identifies and generates strategies for reaching various audiences.
  • Conducts ongoing research and information gathering to build and refine a database of prospects and clients. Reports on key sales activities and leads, and contributes to budget goals and associated strategies.
  • Manages an aggressive sales process including regularly scheduled mailings, email, and a weekly cold-call schedule.
  • Maintains an awareness and understanding of competitors, partners, and potential partners.
  • Develops partnerships with organizations that can increase sales through the creation of group tour “packages” and cross promotion of those packages.
  • Develops appropriate messages and content for collateral sales materials including brochures, fliers, electronic communications, web site components, direct mail campaigns, and all other needed support materials consistent with National Aviary identity and branding guidelines.
  • Plays an integral role in the development of budgeted revenue and sales goals.

 Administrative Support

  • Performs administrative functions with timeliness and accuracy including processing bookings, creating invoices, managing payments and payment records, managing the master program schedule, producing sales activity reports, conducting the monthly reconciliation process, and managing sales customers to ensure accurate record keeping and track the sales process for customers and prospects over time.
  • Collaborates across departments to manage internal programs calendar to ensure proper space usage and communication.
  • Generates reports as requested summarizing sales activities and revenue projections.
  • Enters new events and program tickets into POS and online eCommerce systems.

Guest Experience

  • Facilitates the arrival of group tours and guests participating in educational programs. Manages all customer communications before, during, and after visits.
  • Assists with front desk coverage as needed. Duties include checking in visitors, processing retail transactions, and answering general inquiries via phone.
  • Cross-trains with fellow members of the Guest Operations team to maintain the highest levels of guest satisfaction across all guest facing activities even when other team members are out of the office.
  • Adheres to all National Aviary protocols and procedures.
  • Interacts with visitors utilizing National Aviary Visitor Engagement protocol.

SUPERVISORY RESPONSIBILITIES:  

The Sales Coordinator has no supervisory responsibilities.

SKILLS AND QUALIFICATIONS:  

  • Proven sales and customer service skills, including experience with cold calling.
  • Strong relationship building and interpersonal skills. Proven oral and written presentations skills.
  • Excellent communication, organizational skills, and work flow prioritization abilities.
  • Highly detail-oriented and self-motivated with strong work ethic; accustomed to working in a team environment.
  • Proficiency in Microsoft Office, especially Excel, and database management.
  • Initiative, results oriented, goal oriented.

EDUCATION AND/OR EXPERIENCE:

  • Undergraduate degree in Communications, Business, Marketing, Education, or related fields or equivalent professional experience related to this job.
  • Experience in customer relationship management systems and processes.

OTHER REQUIREMENTS:  

  • Satisfactory Pennsylvania State Police Criminal Record Check and Child Abuse History Certification 
  • Satisfactory FBI Criminal Record Check  

 PHYSICAL DEMANDS:  

While performing the duties of this job the employee constantly operates a computer and telephone. Employee will be required to move around the facility throughout the day and may stand for prolonged periods of time.

 WORK ENVIRONMENT:  

Work environments will include climate-controlled office spaces, public areas where the noise level may be loud, and occasionally outdoors where work may need to be done in inclement weather conditions, including extremes of temperature and precipitation.  

 POSITION TYPE/ EXPECTED HOURS OF WORK:  

This is a full-time position. Applicant must be able to work a Monday-Friday schedule. The candidate must be able to work occasionally on weekends, and holidays and in the evening as job duties demand.
