Job Purpose: This position supports The Pittsburgh Promise’s mission of funding scholarships and supporting student success to improve post-secondary access and affordability. Its purpose is to ensure the College and Career Success team of The Promise conducts an accurate and efficient scholarship process, provides excellent and responsive customer service, and serves students well as they pursue college and career opportunities.

Primary Functions: Process invoices for scholarship payments with both accuracy and expediency to assure students accounts are paid in a timely manner, respond to inquiries from students, parents, financial aid staff, and assist in ongoing projects to support The Promise’s overall mission.


Scholarship Payments

  • Process scholarship invoices for payment of Promise awards during peak periods (September-October; February) and as assigned. Assure accuracy and correctness of amounts to be paid for each student billed, including award calculation, eligibility review, and approval before supervisor’s authorization of payment. This also includes processing refunds and making payment adjustments.
  • Manage the interfaces between the Scholarship Administration System and post-secondary institutions to assure accurate and organized storage and transfer of scholarship, payment and progress data.
  • Process dual enrollment invoices for payment.
  • Work with post-secondary institutions to correct data or billing issues, as needed.

Customer Service

  • Respond to student and parent payment inquiries via email/phone and quickly follow through to resolution, as needed.
  • Be an expert user of The Promise’s texting platform to engage with student responses to texting campaign messages

Data Maintenance

  • Assistance in the maintenance of accurate student records and student data processes
  • Generate reports and run queries for internal partners and projects
  • Update the records of students who are eligible for special eligibility consideration due to involvement with the Allegheny County Department of Human Services

Ongoing Projects

  • Review and document student requests for compassion appeals
  • Update and manage Preferred College Partner documentation, including letters of agreement, contacts, and Scholar reports
  • Process all Promise invoices, including credit card charges, for payment
  • Participate in planning and staffing events hosted by the College and Career Success Department.
  • Complete other duties or responsibilities as assigned by the Director of College and Career Success.


  • Strong attention to detail and ability to understand nuances of the scholarship award is essential.
  • Ability to build positive relationships with a diverse constituency – students, parents, financial aid officers.
  • Strong communication skills – both written and oral.
  • Sensitivity to the confidential nature of student information.
  • Data analyst skills preferred
  • Ability to work with urgency to meet critical deadlines and to manage multiple responsibilities and projects simultaneously.
  • Strong spirit of collaboration to support the overall success of the College & Career Success Team and The Promise
  • Demonstrated desire to take initiative and seek continuous improvement
  • Solid organizational skills

  • Bachelor’s degree in data management, business, or accounting is preferred, but not required
  • Must pass appropriate clearances (criminal record and child abuse)
