Summary

Under the direction of the Chief Financial Officer (CFO), the Accounting Clerk is responsible for the coordination of the organization’s accounts payables/receivables, payroll, employee benefits, as well as general office duties of Literacy Pittsburgh (Agency) including as described below. 

Essential Functions

Accounts Payable

  • Collect invoices, purchase orders and shipping documentation.
  • Match invoices with appropriate purchase orders or shipping documentation
  • Verify accuracy of invoices and assign general ledger and grant codes for payment.
  • Enter invoices into Literacy Pittsburgh’s accounting system.
  • Upload check register to our positive pay portal
  • Mail checks and appropriate supporting documentation to the vendors
  • Research unpaid bills or outstanding vendor balances in response to vendor inquiries.
  • Maintain employee credit card files, request, and collect credit card receipts, follow up with employees as necessary, and assign general ledger and grant code to employee purchases.

Cash Receipts

  • Prepare bank deposit.
  • Prepare cash receipt journal entries.
  • Prepare and review monthly cash receipt reconciliation for the Development department.

Payroll and Employee Benefits

  • Prepare semi-monthly payroll.
  • Prepare semi-monthly 401k report.
  • Coordinate new hire and terminating employee benefit forms.
  • Prepare LST and payroll tax expense quarterly reporting.
  • Enter payroll and 401k journal entries into the accounting system.
  • Collect and verify accuracy, proper approval, and business purpose for employee expense reimbursement requests.

General Office Duties

  • Working knowledge of all office machines
  • Assist with incoming and outgoing mail.

Other

  • Assist with preparation of documents for annual audit.
  • Assist with preparation of annual budget process as needed.
  • Assist with monthly closing process.
  • Attend special events.
  • Other duties as assigned. 

Qualifications

  • Prefer Associate degree, Accounting, Finance, Business or some experience.
  • Non-Profit accounting experience preferred.
  • ADP experience a plus
  • Flexibility, adaptable to changing needs and schedules.
  • Ability to work independently and in a team.
  • Demonstrated organizational skills.
  • Proficiency in workplace digital platforms
  • Excellent communication skills
  • A team player attitude
  • A desire to continually learn and an ability to work in a fast-paced environment.

Additional Eligibility Requirements

  • COVID-19 vaccination

Work Environment

  • Full-time hybrid in Downtown Pittsburgh, some evening work required.

Physical Demands:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to carry, push and pull up to 25lbs.

The accounting Clerk is a hybrid position.
